Tech Talk: Rotation Assignments the Easy Way – Martin Gremm, CEO, CalendarLab

Rotation assignments are a problem at every dentistry school. Manual assignments are time consuming, tedious and error prone. CalendarLab automates this process. We will give you a brief introduction to CalendarLab. The you imports a list of students and creates all rotations in CalendarLab. CalendarLab then generates rotation assignments that are conflict-free and meet academic requirements. CalendarLab provides upload files to clinic management systems. We must have automation, but we also need good rotation design to generate assignments quickly and easily. Avoid designs with built in conflicts or where one change cascades through the whole schedule. We want rotation designs where one change causes one or two other other changes, but the rest of the assignments do not change. We will give examples of good and poor rotation designs. Good rotation design and CalendarLab’s automation will speed up the assignment process significantly.

Let’s face it… insurance is complicated. axiUm can handle most of a patient’s coverage benefits and limitations as long as the plans are correctly defined in axiUm and attached to the correct patients. This session will explain insurance company basics, Benefit Plans, and Coverage templates. Attendees will have a better understanding of how coverage works and how to set up plans for private and government plans.

Advanced form building, including form statuses, setting up auto assignments, enabling required form items, creating workflows, setting up nested checklists, and copying forms. We’ll also go over enabling and pushing out forms in PatientAccess.

Changing fees can be accomplished using individual edits, copying from another schedule, performing a mass adjustment process, or importing data. New fees can also take effect on a set future date, and old schedules can be maintained for historical purposes. This session covers the how-to’s and proposes strategies to keep the process simple.

Many axiUm reports were designed with the financial team in mind. This session will review best practices for reports on Bank Deposits, Missing Charges, A/R Reconciliation, Production, Unallocated Payments and Adjustments, NSFs and Refunds, and Unapproved Treatments. We’ll also talk about departments and how they can be used effectively for your Practice reports.

Introducing the consent process in axiUm. Users will understand the different types of consents, the use cases for each, and how to properly adjust consent settings. Whether consents are reviewed and accepted digitally or scanned in, the settings are integral to the patient consenting process. Defining required signatures or initials and controlling access allow the consents to best match the institution’s needs.

Controlling and managing settings for the workstation by defining individual options, utilizing templates, and assigning workstations to groups. The copy feature will also be covered as a time saver to create templates from a properly defined workstation. Participants will be shown how to review existing stations in search of stations that no longer exist or are perhaps “misplaced.”

Cleaning Up Insurance – Sandi Acres

When collecting patient payments, are the patient and insurance splits working correctly? Are there too many plans to choose from when adding dental coverage to a patient record? If any of these are true, it may be time to take a closer look at the integrity of your Insurance Benefit Plans in axiUm. This session will review how to analyze your Benefit Plans and how to transition to more valuable and usable Benefit Plans.

Scheduling does not have to be a make-work project. Set your users up for success by utilizing the Appointment Expert to streamline the scheduling process for both students and staff. Using the expert puts the control in the hands of the axiUm administration team while benefiting the end user with accurate and efficient scheduling practices.

Code Cleanup – Lauralynn Mealing

Over time, carefully “thought up” codes may no longer match your 2024 business practices. This session takes a deep dive into Maintenance Codes, which may need to be rethought and simplified. Codes include Bank, Payment, Adjustment, Office Charges, Patient Notes, and Comments.

Confused about SREPORTS now being stored in the DB? This session will cover best practices on managing Standard Reports, including making changes to standard reports, how to deploy customized versions, setting up access, how defaults work, and other caveats that come with this new feature.

Taking Action on Forgotten Items – Lauralynn Mealing

There may be “things” you wish would disappear… however, they require attention and an action plan. In this session, you will learn how to find Unapproved Treatments and discuss methods to deal with these items once and for all as a group. Some balances result from stale items such as Insurance Payments, Patient Adjustments, and other debit/credit balances. We all want the patient’s balance to be zero, so let’s discuss both prevention and how to handle these oldies!

Power Admin controls access by user level and is the backbone of the axiUm solution. The menu items and dialogue controls will be explained using simple examples. This session will introduce the basics of creating and changing roles and the copy and export/import features. A brief overview of the original level-based method vs. the newer role-based method will aid in deciding what is suitable for your institution.

Chart Locks, Interventions, and Indicators – David Miller

axiUm continues to improve and change some of our most powerful but underutilized features. This session will review these features and discuss their setup and use cases.
